Privacy Policy

1. introduction

Everyone who submits their personal data and other sensitive personal information to us should feel confident that it will be handled properly. This privacy policy explains how we collect and use this information. It also describes the person's rights towards us and how they can enforce their rights. We process personal data in accordance with applicable data protection legislation.

2. data controller

Talita (802418-1987) is, as a legal entity, responsible for the processing of personal data within the business in accordance with the GDPR (General Data Protection Regulation) Data Protection Regulation that came into force on May 25, 2018. Talita can be reached by email at info@talita.se and by phone at 0704 30 44 64.

3. We collect personal data in the following cases:

  • When a person seeks support from us and/or is enrolled in Talita’s rehabilitation program
  • When someone makes a donation or becomes a monthly donor to Talita
  • When a person becomes a member of Talita
  • When someone subscribes to our newsletter
  • When someone applies for a position at Talita
  • When someone becomes a volunteer at Talita
  • When a person contacts us by email or phone

4. What data we collect and how long we keep it for

We retain personal data for as long as necessary to perform our work. We may retain the data for a longer period if required by law or to protect our legal interests, such as in the event of ongoing legal proceedings.

When a person seeks support or participates in the rehabilitation program‍

When someone seeks support from us anonymously via our hotline or by email, no information is saved. However, if the person wishes to continue contact, we save their name and contact information for the duration of that contact. When the contact ends, all information is deleted. We collect anonymous statistics about our operations every year and therefore save data on how many people seek support from us, the method of contact, the type of support, location, etc. This data cannot be linked to a specific person and is completely anonymous. Talita stores certain other personal information (in addition to names and contact details) about the women participating in the rehabilitation program in order to provide the best possible support and assistance during their stay with us. Some information is stored in a locked security cabinet in our office, to which only staff have access, while other information (such as documentation for authorities, contracts, and certificates) is stored only on the operations managers’ computers.

When a woman comes to us and chooses to be part of the program, she is informed about this and then she has to agree in writing to the handling of the data. When the woman moves out of the Talita shelter, all documentation is destroyed or de-identified.

For security reasons, Talita has installed a video camera above the front door (on the inside) of our housing units. The footage is not stored long-term but is deleted on an ongoing basis. The women living with us must also give their written consent for this.

When a person makes a donation or becomes a monthly donor

When someone makes a donation, information about the transaction (amount, time, type of transaction, and type of donation) is stored in our online banking system and our fundraising service. If the donation is made via Swish, the phone number and the information the person provided during the payment—such as their name—are stored. This information is deleted after two years. When a person becomes a monthly donor, we collect their name, address, email address, and the amount they wish to donate each month. The information is deleted when the donor notifies us that they wish to cancel.

When a person becomes a member

The personal data we collect when a person becomes a member is stored in our membership register. This contains names and contact details such as email address and telephone number. The information is deleted when the membership ends.

When someone wants to subscribe to our newsletter

When a person signs up as a monthly donor on our website, they are offered the option to subscribe to our newsletter. If they choose to do so, we collect their name and email address. This information is deleted when the person notifies us that they wish to unsubscribe.

When a person applies for a job

When someone applies for a position with us, we collect their contact information and details about their qualifications. If we do not end up hiring that person, we delete the information.

When someone becomes a volunteer

The personal data we collect when someone becomes a volunteer is stored in our volunteer registry. This includes names and contact information such as email addresses and phone numbers. We store information necessary for volunteering, such as qualifications. The information is deleted as soon as the volunteer position ends.

5. Why we store personal data

We process personal data for the following purposes:
To respond when someone contacts us and requests our support.
To provide the best possible assistance to clients during their stay with us.
To process donations and comply with legal requirements regarding the retention of contracts.
To respond to inquiries regarding membership, volunteering, job openings, or donations.
To compile anonymized statistics that improve our operations and enable us to report results to donors.
The data stored in our membership registry is used to provide information about our operations by emailing thank-you letters, member newsletters, invitations to events, training sessions, the annual meeting, and similar communications to all members.

6. Legal basis

When a person provides data to Talita, they give their consent for us to record and store data and process it in accordance with this privacy policy. As a legal basis for processing, Talita uses 1) fulfillment of contract, 2) legal obligation, 3) legitimate interest of the controller or third party or 4) consent. The processing takes place in accordance with current legislation and means that personal data is not retained for longer than necessary for the purposes of the processing.

7. Rights of individuals

If the personal data we process is inaccurate, incomplete or irrelevant, the data subject may request its rectification, completion or erasure. For example, they have the right to have their personal data deleted if it is no longer needed for the purpose for which it was collected, as long as we are not required to keep the data by law or to defend a legal claim. If the data subject disagrees with a balance of interests we have made, they can also object to the processing or ask us to restrict it by contacting us. People whose personal data we have stored always have the right to access their information. If they have given consent to processing, they have the right to withdraw their consent at any time.

8. Who can access the personal data?

Only Talita employees have access to the personal data stored about the women seeking support. Volunteers also have access to personal data if they work directly with a woman as a support person. Only authorized researchers have access to anonymized research material. The material is kept in a locked cabinet at Talita's office. Talita will not sell, rent or lease the personal data collected in its activities. Data collected through the donation box on the website may be shared with our IT provider for the payment solution. However, Talita is always responsible for the processing. Personal data may be disclosed if it is necessary to comply with applicable law, regulation, legal process or request from an enforcement authority and to protect Talita's legal interests.

9. Storage of personal data

Talita has taken the necessary technical security measures to protect the personal data we store against unauthorized access, alteration and deletion. As we keep some information on women seeking support for statistical purposes, the recorded information is deleted when a new year starts and the statistics are recorded. Anonymized statistics are stored long-term. The digital storage of personal data takes place on a dropbox that is only accessible to those responsible for operations at Talita. The physical information stored is locked in a safe at our office.

10. Information to the Data Protection Authority

If a person believes that our processing of their personal data has been incorrect, they can report this to the Swedish Data Protection Authority either by telephone on 08-657 61 00 or by e-mail to imy@imy.se.

Fundraising Policy

The purpose of this policy is to ensure that Talita conducts its fundraising activities with transparency, integrity, and respect for the people we serve. This policy applies to all staff, board members, volunteers, and partners involved in fundraising activities, both online and in person.

Ethical Guidelines for Fundraising Talita’s fundraising efforts must always be characterized by dignity, respect, and honesty. When communicating in connection with fundraising, Talita must never exploit or portray survivors of the sex industry in a way that could be perceived as offensive, sensationalist, or hurtful. Talita must also not use stories, images, or personal information without consent and without ensuring the individual’s safety and anonymity. Talita must always provide accurate and factual information about how the funds will be used.

Sources of Funding Talita accepts only grants and partnerships that align with the organization’s core values. This means that Talita does not accept money, donations, or support from businesses or individuals that we know are connected to the sex industry (human trafficking, prostitution, or pornography). Talita also does not accept money derived from dishonest, exploitative, or illegal activities (e.g., arms trafficking or narcotics).

Use of Raised Funds All funds raised must be used in accordance with the purpose communicated during the fundraising campaign. If a project receives more funds than planned, or if circumstances change, donors must be informed of how the funds will be used instead. This must always be in line with Talita’s overall mission. Transparency and accountability are core values, ensuring that donors can have full confidence that their contributions are used as promised.

Refunds and Withdrawal of Donations Donations to the organization are voluntary and are considered final once payment has been made. The organization has no obligation to refund funds received. In cases of obvious errors, such as duplicate payments or incorrect amounts, a refund may be issued upon written request from the donor. Each case is assessed individually. If a donor imposes new conditions after the fact that the organization cannot meet, this is not considered grounds for a refund.

‍Gifts in the form of securities The organization may accept gifts in the form of stocks, mutual funds, or other financial instruments. Such gifts are valued at fair market value at the time of transfer.

‍Donations in the form of real estate and other tangible property Donations in the form of real estate or other tangible property may be accepted following a specific review. Prior to a decision, an assessment must be made of: financial implications, any liabilities or encumbrances, management costs, and legal obligations. Decisions to accept such property are made by the Board of Directors. The organization reserves the right to dispose of real property if this is deemed to be in line with the organization’s objectives and financial responsibilities.

Right to Decline a Gift The organization reserves the right to decline gifts that are deemed to conflict with the organization’s core values, mission, or ethical guidelines.

‍Financial Reporting Talita reports annually on how the funds raised have been used in its annual report and financial statements.

Follow-up and Responsibility The TalitaBoard of Directors is responsible for ensuring that this policy is followed and revised as needed. Any questions regarding its application are handled by the executive management.

Privacy and Data Protection Talita has a privacy policy that we adhere to in all circumstances, including when collecting data.

Responsibility: The management team is responsible for ensuring compliance with this policy.

Policy on Misconduct and Corruption - Policy Document

Talita actively works to prevent and combat any misconduct that may arise within the organization in order to maintain a high level of trust not only with donors, partners, and the public, but above all with the women we help. Therefore, it is crucial that Talita’s operations are conducted with the highest integrity and transparency. Talita therefore has a zero-tolerance policy toward corruption and other forms of misconduct.

Talita’s work to combat misconduct is based on the following principles:
1. Never accept corruption or unethical behavior
2. Always prevent risks through clear procedures and internal controls
3. Always take action if misconduct is suspected
4. Always inform and promote a culture of openness and accountability

Talita defines misconduct and corruption as an abuse of trust, power, or position that results in undue gain for someone. Corruption includes, among other things, bribery, extortion, favoritism, and nepotism, as well as conflicts of interest, embezzlement, and fraud.

If you suspect any form of financial corruption or other misconduct (such as discrimination, sexual harassment, conflicts of interest, or other types of unethical behavior) involving Talita, you can report it to info@talita.se. You may, of course, remain completely anonymous. All reports are treated confidentially by the Board, regardless of whether the report is anonymous or not. The Board must be informed of all irregularities as well as any retaliation.

Code of Conduct

Purpose

Code of Conduct outlines the requirements and expectations regarding how Talita representatives should conduct themselves in the course of their duties. The purpose is to ensure that Talita’s core values, mission, and vision permeate all work and relationships, and to foster a sense of security, trust, and clarity for the people we meet, collaborate with, and are accountable to. The Code of Conduct serves as a guide in everyday life and provides guidance when facing difficult ethical decisions.

Talita’s DNA – why we exist and how we operate
Talita
means “little girl” and is taken from the biblical story where Jesus says: “Talita koum – little girl, I say to you, get up.” Talita’s vision is that the women and children we meet will rise to a new life of freedom, dignity, and hope. Talita’s motto is to go where no one else goes and help those no one else helps. We want to see the whole person and be there every step of the way—no matter where in the world she has been victimized and regardless of whether someone pays for her stay with us or not. Talita’s mission is to combat sex trafficking in all its forms through preventive, outreach, and rehabilitative work. Sex trafficking is a collective term for human trafficking, which is a modern form of slavery; prostitution, which is a form of men’s violence against women and children; and pornography, which is documented prostitution. Talita is founded on Christian principles and a view of humanity where every person has an inviolable value. Representing Talita means embodying this DNA in one’s manner of being, speaking, and acting.

‍If the Code of Conduct is not followed
‍All
representatives of Talita are responsible for identifying and taking action in the event of suspected or actual violations of the Code of Conduct. Violations must be reported to the operations managers or the board, depending on the nature of the situation. Talita handles violations promptly, respectfully, and responsibly. Measures are tailored to the severity of the violation and may include discussions, guidance, changes to assignments, or termination of assignments. Talita does not tolerate retaliation against anyone who, in good faith, reports deficiencies or violations.

Document Status
This
Code of Conduct is a governing document for Talita’s operations and supplements other internal policies and guidelines. The document shall be reviewed as needed and at least every five years.
